You should ensure that you always follow your organisation’s agreed ways of working when recording, storing or sharing information. This will ensure that you work lawfully and to best practice and standards.

When recording information, you should ensure that it is up-to-date, complete, accurate and legible.

When storing information on a computer, you should ensure that you log out when finished, do not share electronic devices with unauthorised individuals and do not share your passwords with anyone. Physical paper copies should be stored in a secure area that is only accessible by authorised individuals. Paper copies should not be left lying around in public areas.

Information should only be shared with others on a need-to-know basis and (in most cases) with the consent of the individual that the personal information belongs to. If you are unsure about whether you should share information, you should speak to your manager.
